Effects of the postal strike

The strike affecting postal services is over.

After the strike, the Finnish Patent and Registration Office (PRH) is now receiving an unusually large number of notifications and applications sent by post. This means our processing times for notifications and applications filed on paper will be longer than normal for some time.

We recommend that you use our online filing services whenever possible. Please note that you must always file your trademark application and renew your trademark using our online service.

Trade Register

If you want us to deal with your Trade Register notification by 31 December, make sure we receive it by Monday 2 December 2019.

File your notification online

Online notifications will be processed according to our usual schedule. We recommend that you use our online service at ytj.fi whenever possible. Please note that the service is only available in Finnish and in Swedish. Go to the online service at ytj.fi.

Submit financial statements only by email to tilinpaatokset[at]prh.fi.

In urgent cases, you are advised to bring your paper notification in person to our Customer Service in Helsinki. See the contact details of our Customer Service.

Monitor the progress of your notification using the notification search in the Virre Information Service.

Avoid corrections, fill in your notification carefully

Sometimes you will need to correct or complete your Trade Register notification. In such cases, we will send you a correction request by post.

Please pay special attention to filling in your notification carefully to avoid delaying the processing because of corrections.

Objections and notifications about receivables

If you have filed an objection to a merger, demerger, or reduction of the share capital on paper, you can contact our Customer Service to find out if we have received the objection.

When a public summons relating to a liquidation has been applied for at the PRH, creditors can notify their receivables to the PRH. If the due date of the public summons has already passed and the company liquidator, or the representative authorised by the liquidator, has not been informed about whether the creditors have notified any receivables to us, contact our Customer Service to enquire if there are any notifications before you file the final settlement.

Register of Associations

Online notifications from associations will be processed according to our usual schedule. We recommend that you use our online services whenever possible. Please note that the services are only available in Finnish and in Swedish.

Sometimes you will need to correct or complete your notification. The invitations to correct which we send on paper may be delivered late, but you will be able to see the invitations also in our online service. However, it is not yet possible to respond to the invitations using the service. Send your response by email to korjaukset[at]prh.fi.

Patent Register and Utility Model Register

We recommend that you send your office action responses, oppositions and other responses using our online services, if possible.

Please remember that you are responsible for making sure that we receive the documents by the deadline.

Post from the PRH

As a rule, we will make decisions and give office actions about applications according to our usual schedule. If you receive an office action late and the response time is too short, you can request that we extend the response time. File your request in writing before the response time expires. Please note that the appeal period for an appealable decision will not begin until the day when you receive the decision. You can use our PatInfo database to monitor the processing. Go to PatInfo.

We deliver the priority documents and document copies ordered from us by agreement in every separate case. We can send document copies by secure email, or you can pick up the documents at our Customer Service. For example, we can send a copy of a priority document by email and the original document by post later on. It is also possible to save priority documents in the online DAS system. This is the best option if the receiving patent authority has also joined the DAS system.

If you are a patent owner or utility model owner, you must remember to pay the annual fees and renewal fees in time, no matter when you receive the payment reminder. Use our PatInfo database to see the annual fees and renewal fees due for payment. Post to the PRH

Patent applications can be filed using our online service. Read more about applying for a patent online.

You can also use email, secure email or fax to submit application documents and office action responses for patents and utility models to the PRH Registry. See the contact details of our Registry.

The following is a summary about how we deal with various trademark and design right documents, and how you can submit documents. Please remember that you are responsible for making sure that we receive the documents by the deadline.

Post from the PRH

During the strike, we sent office actions, deadline extension decisions, statements in opposition matters and other such documents as email attachments to give you enough time to respond. You must confirm that you have received the message, so we do not have to send the document again by post now that the strike is over.

Decisions of refusal, opposition decisions and other decisions where the appeal period begins when the decision is received will be posted now that the strike is over.

Registration decisions will be posted now that the strike is over.

If an office action or other notification has become stuck in the post due to the strike and you receive it so late that the response time has already expired or is about to expire, you can request that we give you a new office action with a new deadline.

The easiest and most reliable way to file documents for pending applications and oppositions is to use our online service. Please note that the service is only available in Finnish and in Swedish. Go to the service where you can respond to office actions, submit statements, complete your application or opposition, request a deadline extension or withdraw your application or opposition.

In addition, it is possible to submit documents by fax, by using a messenger service or by bringing them in person to our Customer Service. Read more on our Registry’s web page.

You can also request a deadline extension due to the postal strike. The request is subject to a fee and must be submitted before the deadline.

LEI codes

Submit your LEI application only by email to LEI[at]prh.fi.

Usually, we send an invoice for the LEI application fee after issuing the code. To renew the validity of the code, we send an invoice for the annual fee about 2 months before the code expires.

Due to the strike, we will not send invoices for the application fee and annual fees before 9 December 2019.

If the next revision date of your company’s LEI code is at the beginning of January 2020, pay the annual fee as soon as you receive the invoice to keep the code valid.
