Fre­quently asked ques­tions about manda­tory on­line fil­ing at the Finnish Trade Reg­is­ter start­ing from 2026

1. Q: Which no­ti­fi­ca­tions and ap­pli­ca­tions must be filed on­line?

All notifications and applications filed with the PRH starting from 1 January 2026. They include:

  • Start-up notifications
  • Notifications of changes
  • Notifications of termination of business
  • Applications
  • Financial statements
  • Corrections and other additional submissions to notifications filed with the Finnish Trade Register

Please note that the online filing service and most of the online forms are available in Finnish and Swedish.

2. Q: I am a pri­vate trader. Do I have to file my no­ti­fi­ca­tions on­line?

No. Private traders as well as associations and foundations in the Finnish Trade Register can file their notifications on paper forms.

3. Q: Do I need to cor­rect or com­plete my no­ti­fi­ca­tion on­line if I sub­mit­ted it on pa­per forms in No­vem­ber 2025?

No. Follow the instructions in our request to correct the notification.

4. Q: Why can’t I send no­ti­fi­ca­tions and ap­pli­ca­tions or other doc­u­ments by email?

Email is not secure enough. Email does not require strong authentication, but our online filing service at ytj.fi and our online forms do.

5. Q: What hap­pens if I send my no­ti­fi­ca­tion by post start­ing from 1 Jan­u­ary 2026?

The deadline for notifications and applications sent by post is 31 December 2025.

Deliver paper notifications and applications
  • by 15.00 on 31 December 2025 to the PRH customer service point
  • by 16.15 on 31 December 2025 to the mailbox next to the B entrance of the PRH premises.
We will not process paper notifications and applications received on or after 1 January 2026, if the company type is anything other than a private trader, association, or foundation.

6. Q: I had al­ready paid the han­dling fee but de­cided to file my no­ti­fi­ca­tion on­line at ytj.fi and had to pay for the no­ti­fi­ca­tion again. Can I get a re­fund for the over­pay­ment?

Yes. Request a refund by sending the receipt and refund details to ilmoitusmaksut(at)prh.fi.

7. Q: I need to cor­rect the fi­nan­cial state­ments on­line. What should I do?

File all the financial statement documents again online at ytj.fi. Read our instructions on how to complete financial statements.

8. Q: None of the per­sons re­spon­si­ble for the com­pany has a Finnish per­sonal iden­tity code. What should we do?

EU citizens can use the online form “Identification method for foreign persons – Notification to the Finnish Trade Register” to file a notification. Read more in our instructions for special cases.

9. Q: None of the per­sons re­spon­si­ble for the com­pany has a Finnish means of iden­ti­fi­ca­tion or a means of iden­ti­fi­ca­tion from an­other EU coun­try, nor the pos­si­bil­ity to ob­tain them. What should we do?

In this case, an authorised contact person should file the notification. They are authorised by a person responsible for the company, such as a member of the board of directors or the managing director. Read more in our instructions for special cases.

10. Q: Our com­pa­ny's gen­eral part­ners are com­pa­nies. What should we do?

A person authorised to represent the company, such as the managing director, should file the notification using our online form. In 2026, it will become possible for these companies to file notifications online at ytj.fi. Read more in our instructions for special cases.

11. Q: I can­not ob­tain Finnish in­ter­net bank­ing codes to file a no­ti­fi­ca­tion on­line. What should I do?

Authorise a contact person to file the notification for you. Read more in our instructions for special cases.

12. Q: Can an ad­vo­cate file a no­ti­fi­ca­tion on be­half of the per­sons re­spon­si­ble for the com­pany?

13. Q: I do not un­der­stand Finnish or Swedish and can­not use the on­line fil­ing ser­vice at ytj.fi or the on­line forms. What should I do?
