Notification of procuration rights on paper forms

You can file your notification of procuration rights on paper.

Most companies can also file their notification of holders of procuration online using the service at ytj.fi, which is jointly provided by the Finnish Patent and Registration Office (PRH) and the Finnish Tax Administration. Online filing is faster and usually cheaper than using paper forms. Read more about filing holders of procuration online.

When to file

Filing new holders of procuration with the Finnish Trade Register is voluntary.
However, you must report any changes to the registered details without delay.

Fees for filing on paper forms

The fee for the start-up notification also covers the notification of holders of procuration.

Paper notifications concerning a change of the board of directors, holders of procuration, persons entitled to represent the company, auditors, managing director or property manager cost 50 euros per matter.

Example prices of notifications filed on paper:

Change of holders of procuration: 50 euros
Change of person entitled to sign for the company and holder of procuration: 100 euros (50 euros + 50 euros)
Change of board of directors, person entitled to sign for the company and holder of procuration: 150 euros (50 euros + 50 euros + 50 euros)

How to file

Make the payment in advance and enclose the receipt with your notification. See our payment instructions.

Enter the names of the holders of procuration and how they represent the company (for example, alone or two jointly) on the form.

Use a personal data form for filing identification details of persons. Make sure you do not fill in personal identity codes, or the home addresses of persons living abroad, on any other notification forms. You do not need to submit the home address of persons living in Finland to the Finnish Trade Register. Read more about personal details.

The Y form is signed by the trader or someone authorised by the trader. If an authorised person signs the notification, enclose a certified copy of a special power of attorney or the original general power of attorney.

Enclose the receipt for the handling fee.

Limited liability company

The Y form is signed by a board member, the managing director, or a person authorised by either a board member or the managing director. If an authorised person signs the notification, enclose a certified copy of a special power of attorney or the original general power of attorney.

The details filed on appendix 1 or 13 are the names and dates of birth, and, for foreign persons, citizenships.

Enclose the following documents with the notification:

Receipt for the handling fee
Report on the election of the holder of procuration, such as a copy or an extract of the board meeting’s minutes. The report is not required if the person granting procuration rights signs the notification.
Copy of the information page of the passport of the holder of procuration or of another identification document if the person who is filed as a holder of procuration does not have a Finnish personal identity code.

General partnership or limited partnership
