Beneficial owner extract

An extract on beneficial owners contains the details of an individual company’s beneficial owners. The details are either in Finnish or Swedish, depending on the language of the company’s notifications. An extract on beneficial owners is also available as a document translated into English.

An extract on beneficial owners is subject to a charge.

Please note that the details on the extract on beneficial owners are not public in the same way as other company details entered in the Finnish Trade Register.

Before ordering an extract on beneficial owners, use our Virre Information Service to check free of charge if there is a notification of beneficial owners registered for the company or organisation.

Who can access the details on beneficial owners?

The PRH provides details on beneficial owners to parties intending to use the details in accordance with the Act on Money Laundering. In practice, these include the following:

• Finnish supervisory authorities defined in the Act on Money Laundering;
• Companies defined in the Act on Money Laundering who have an obligation to know their customers (such as banks, insurance companies and other financial institutions, real estate agents, auditors);
• Media representatives; and
• Other parties whose purpose of use of the details complies with the Act on Money Laundering.

A purpose of use in accordance with the Act on Money Laundering means that the details are used to prevent money laundering and terrorist financing, or to promote the detection of money laundering and terrorist financing.

What details does an extract on beneficial owners contain?

The extract on beneficial owners contains the following details:

• Company identification details (name, Business ID, registration date, company type, place of registered office, contact details)
• Details on registered beneficial owners:

• Date of birth
• Full name
• Nationality
• Municipality of residence, or home country of a person living abroad
• The extent of ownership and voting rights, or the fact that the role as a beneficial owner is based on other actual control

If the company has filed that it has no beneficial owners, the extract contains the following entry:

The organisation has no beneficial owners or no beneficial owners could be identified. In this case, the board of directors or general partners of the organisation or the managing director or any other person in a corresponding position are considered the beneficial owners.

How can I order an extract on beneficial owners as a document order?

You can order a single extract on beneficial owners as a document order. The extract will be sent by email or post.

Processing the order takes 2–3 working days.

To place your order:

• Fill in and file the document order form.
• Go to the document order form.
• Fill in the report on the purpose of use and send it to the PRH.
• Your purpose of use of the details must comply with the Act on Money Laundering.

• The PRH verifies your identity.
• We must identify the person using the details.
• When processing your order, we may ask you to identify yourself online.

You can also purchase extracts on beneficial owners at our customer service point in Helsinki. Book an appointment with our customer service point, where you will hand in the report on the purpose of use and present a passport or identity card (a driving licence is not valid proof of identity). How can I get extracts on beneficial owners as a contract client?

Those who need a large number of details on beneficial owners should consider becoming a contract client of the PRH Virre Information Service.

As a contract client, you get an electronic extract of beneficial owners by logging in to the Virre service using your personal identifiers, if you have a purpose of use complying with the Act on Money Laundering.

Place an order to become a contract client and to order extracts on beneficial owners as follows:

• Fill in and sign the contract form and indicate the users.

• Fill in the report on the purpose of use.
• Your purpose of use of the details must comply with the Act on Money Laundering.

• Send the contract form in two signed copies to the PRH.
• Include the report on the purpose of use.
• Send the forms and enclosures to:

• We will create user names and passwords for the persons you have indicated. The user names and the passwords are personal.
• A representative of the PRH will sign the contract and sends it back. After this, we will send you the usernames and passwords.
• The PRH verifies your identity.
• We must verify the identity of the person using the details and identify the party making the contract.
• When we are processing the contract, we may ask the person who has signed the contract to identify themselves online.

How much does an extract cost?

An extract on beneficial owners as a document order

The price of the extract on beneficial owners as a document order is 7 euros/extract (VAT 0%), and possible delivery and invoice costs 12 are euros (VAT 0%).

A translated extract about beneficial owners in English costs 29.76 euros/extract (incl. VAT 24%). In addition, possible fees for invoicing (8.06 euros, incl. VAT 24%) and delivery (6.82 euros, incl. VAT 24%) are charged.

An extract on beneficial owners for Virre contract clients

For contract clients, the price of an electronic extract on beneficial owners is 0.90 euros + VAT 24%.

The price of an English electronic extract on beneficial owners is 5.00 euros + VAT 24%.

The initial fee for the client contract is 200 euros + VAT 24%. The annual fee for the user name is 22 euros + VAT 24%.

Contract clients receive an invoice for their online purchases once a month.
